Reminder Process

The Admin can to be sent to task assignees at any day interval they choose.
The reminders are sent based on the Reminder Settings in place when the task is sent to the assignee. The reminder due dates are calculated and set.
An automated job runs at 5AM US Eastern Time and the reminders are emailed.

Reminder Days & Due Dates

Below is a simple example of how the reminder process works.
In our example, there are 4 reminders (Elite Plan settings) and reminders are emailed:
  • 7 days before due date
  • 5 days before due date
  • 3 days before due date
  • 1 day after due date
If a task is marked as complete and there are reminders scheduled, no further reminders are emailed to the assignee. Reminders are not sent for a task marked Completed.
Reminders are not scheduled for tasks where the reminder date is after the due date (except where the reminder is schedule after the due date).
Therefore it’s possible that fewer than 4 reminders are sent for a task, even though our plan allows for 4 reminders per task.
  • Tasks 1 & 2 both have due dates that allow for all 4 reminders to be emailed.
  • Task 3 cannot send a reminder 7 days before the due date. Todays date is 09/01/2025 and the due date in 09/06/2025. The due date is less that 7 days away, so 3 reminders are sent.
  • Task 4 cannot send a reminder within 7 or 5 days, so only 2 reminders are sent.
When reminders are sent is completely customizable. You can set reminders to be sent any number of days before or after the due date. Sending reminders after the due date is helpful if you want to remind assignees that they still have a task due, even though it’s past the due date.
